When a Filled PDF Form Appears Blank
Your answers are usually still there. Here's how to make them show.
The Short Answer
A PDF form field keeps two things: the answer you typed, and a small drawing of that answer called an appearance stream. Viewers show the drawing. Some apps save the answer but don't update the drawing, so the next viewer shows an empty box.
Your answers are usually still in the file. Redraw each field from its stored value, or flatten the form so the answers become part of the page.
Fix the blank form →How to Fix It
- Open the PDF Form Flattener and choose the form that shows blank.
- Check the table. It lists every field, its type and the value stored in it. If your answers appear there, they are in the file.
- Choose Flatten to lock the answers into the page, or Fix display, keep it fillable if someone still needs to edit the form.
- Click the button, download the new PDF, and open it in a different viewer to check before sending it.
If a field you filled shows as empty in the table, the value never made it into the file. That can happen when text was typed with a free-floating text box tool rather than into the field, or the file wasn't saved. Fill those fields again.
Why It Happens
The PDF format lets a form say “my fields need redrawing” with a flag called NeedAppearances, so the viewer builds each field's look from its value when it opens the file. Not every viewer honours that flag, and PDF 2.0 deprecated it in favour of always saving proper drawings. When there is no drawing and the viewer doesn't build one, the field looks empty.
How a viewer fills the gap isn't defined by the PDF specification, which is why the same file can look complete in one app and blank in another. The PDF Tools knowledge base explains this in more detail.
Things That Trip People Up
- It looks fine for you. Your viewer may draw missing fields itself. Always check in a second viewer, such as Acrobat Reader or a web browser, before sending.
- It prints blank. Printing uses the same drawings, so a field that looks empty usually prints empty too. Fix the file, then print.
- Non-Latin text. The flattener redraws text with Helvetica, which covers Western European characters only. Fields with Chinese, Arabic, Hebrew, Cyrillic or emoji are flagged and left as they were.
- XFA forms. Forms built with Adobe LiveCycle or Designer (XFA) store the form in a separate layer only Adobe software fully supports. Fill those in Acrobat Reader.
- Calculated fields. Totals worked out by scripts in the form are only redrawn with whatever value was saved. If the app you used doesn't run form scripts, the saved total may be stale.
Platform Notes
- Mac Preview. Forms filled in Preview showing blank in Acrobat has been reported for years on Apple's and Adobe's forums, where the typical symptom is a value that appears only while the field is being edited. We haven't tested every macOS version, so treat it as a likely cause, not a certainty.
- Acrobat Reader. An Adobe community expert's repair is to click into each filled field, type a space and delete it, which makes Reader redraw that field. That works for one or two fields; for a whole form, redraw them all at once with the flattener.
- Sending forms. If the recipient only needs to read it, send a flattened copy. It looks the same everywhere.
Frequently Asked Questions
Why does my filled PDF form look blank to the person I sent it to?
Each form field stores your answer and, separately, a drawing of that answer called an appearance stream. Viewers show the drawing. If the app you used saved the answer without updating the drawing, any viewer that doesn't redraw fields itself shows an empty box, even though the answer is in the file.
Are my answers lost?
Usually not. In most cases the value is still stored in the field. A quick test: in Acrobat Reader, click into a blank-looking field. If your answer appears while you are editing and disappears when you click away, the value is there and only the drawing is missing.
Why does it look fine on my computer?
Different viewers handle missing drawings differently. Some build the field's look from the stored value when they open the file; others only show the saved drawing. Your viewer may be doing the first, while the other person's does the second.
Does this happen with Mac Preview?
It has been widely reported. Threads on Apple's and Adobe's forums going back to 2011 describe forms filled in Preview showing blank in Acrobat until a field is clicked, and an Adobe community expert has said forms filled in Preview can contain entries that make populated fields appear blank. We have not tested every macOS version.
How do I fix a form that already shows blank?
Redraw every field from its stored value. The PDF Form Flattener here does that in your browser, lists every field with its value, and can either keep the form fillable or flatten it so the answers become part of the page.
Should I flatten the form before sending it?
If nobody needs to edit it afterwards, yes. A flattened form shows the same in every viewer and prints the same way, because the answers are ordinary page content rather than fields.
